Position OverviewGeneral Description
The Product Operations Manager works across the product teams to ensure smooth execution of the product lifecycle (PLC) development process and supports efficient operations of the Integrated Product Team (IPT). Responsibilities include documenting objectives for and ensuring timely scheduling of milestone meetings, continually assessing processes and adapting charters to ensure operational effectiveness. Acts as a business super user/owner of the PLC calendar (Product Life Cycle). Tracks and prioritizes PLC related issues, questions, and enhancement requests.
With regard to supplier management, this role executes new supplier set-up and onboarding processes and partners with Product Management, Supply Chain, Compliance, and Product Integrity teams to ensure suppliers are aware of important brand policies and manuals. As the owner of this process, the Product Operations Manager is best able to analyze trends in new supplier onboarding and active supplier management and provide the Product Management & Sourcing team with key insights, identify issues, and provide solutions.
As needed, the Product Operations Manager also supports the execution of IPT initiatives that focus on growth and operational excellence.
Performance requirements
Specific areas of responsibility: PLC Calendar, Supplier Onboarding and Management, Operational Efficiency, Product Operations Systems Support
Product Life Cycle Calendar
Manage annual creation of product lifecycle (PLC) calendar for internal and external use
Manage scheduling of milestone meetings
Create and maintain key milestone meeting charters and agendas
Create and update PLC calendar support tools. This may include training materials, process documentation, and standard operating procedures (manuals, job aids and FAQ references).
Support and/or deliver new associate training on PLC expectations
Support continuous improvement of meetings and PLC cadence to maximize business; including facilitating cross-functional discussions to resolve process challenges and share best practices
Supplier Onboarding and Management
Manage new supplier set-up process:
Coordinate with Sourcing, Trade, CSR for approvals to set-up
Communicate new supplier set-up process expectations to internal and external stakeholders and execute system set up (Bamboo Rose, Retek, Oracle)
Escalate issues to each stakeholder for resolution as necessary
Communicate brand process and policy updates to suppliers
Maintain accurate supplier records within Bamboo Rose system
Bi-annual supplier management system clean-up (Confluence, Bamboo Rose, Oracle)
Manage scheduling and coordinate in-person supplier visits to Duluth Merchandising team during Vendor Handoff and Market Week
Coordinate data collection for supplier performance objectives and create annual vendor scorecard.
Operational Efficiency
Support ad-hoc process improvement projects that impact the Integrated Product Team as needed. Responsibilities may include serving as a project lead or subject matter expert (SME) where needed.
Support operational efficiency and continuous improvement of processes – may include drafting new process and policy documentation
Product Operations Systems Support
Learn how internal and external product teams are expected to use various systems to support PLC expectations
Draft system training materials for internal and external partners
Serve as first point of contact for internal and/or external partners when they experience issues with product operations systems (Bamboo Rose, PO receipt, price ticket ordering)
Determine whether internal and/or external product system users are not following the appropriate process or are experiencing a technical issue/system failure; partner with IT to resolve system failures as necessary.
Work Experience And Education Requirements
5-7 years’ related work experience in Product, Sourcing and/or operational role
Bachelor’s degree or equivalent work experience
Good understanding of retail business and product lifecycle; prefer specific experience in apparel industry
Advanced skills in Microsoft Excel, Word, and PowerPoint
Excellent organizational skills and process management experience
Strong information seeking and problem-solving skills; ability to analyze complex, cross-functional problems and develop actionable recommendations
Able to work independently, proactively and collaboratively
Strong relationship-building skills and ability to build and maintain strong cross-functional relationships
Ability to adjust priorities in an ambiguous environment and mange time wisely in a fast-paced environment with limited direction
Ability to learn new systems and applications, document process expectations, and train others
Outstanding communication (verbal and written) skills; able to document and articulate system & process related topics to varied audiences
